Deltafolio · Import

Move your records into Deltafolio, step by step

Start with a blank template, add your records, check the file, and decide when to bring them into Deltafolio. Follow the steps in order; you do not need to know how data files work.

This is for an athlete with no saved performances in Deltafolio. You can prepare the file before creating an account. Import cannot add to existing records.

Follow these steps

  1. Check that Import is available

Use this guide before you add any Performance in Deltafolio. Your account needs a complete athlete profile and no saved performances.

You are ready when: You have no saved performances, and your own records are ready to enter.

  2. Download one blank template

Choose English or Japanese column headings—whichever you prefer to read. Either file works with either Deltafolio display language. Keep every heading exactly as downloaded.

    ENperformance_datedisciplineJA日付種目
The two downloads change column headings only. The values you type follow the same rules.

The template has headings only. It is not ready to Import until you add at least one complete record.

You are ready when: A file named deltafolio-performance-template-en.csv or -ja.csv is on your device.

  3. Open it in desktop Excel

Open the downloaded file in Microsoft Excel. Select the whole sheet using the top-left corner, then choose Home → Number Format → Text before typing, so dates and numbers stay as you entered them.

You are ready when: You see the headings across the first row and a blank second row for your first record.

  4. Enter records from row 2 onward

Keep row 1's headings unchanged. Start your first record in row 2, then put the next record in row 3, the next in row 4, and so on—one Performance per row. The example below shows a made-up 100m result: enter its date, event, result, unit, and 0 in both count columns; leave other cells blank if they do not apply. Enter every record you want to import before moving on to Save.

    U2EN: field_attempt_countJA: 試技件数0
The first record in row 2 is a made-up example. Add later records on new rows. English and Japanese templates have different headings, but the values are the same.

If your event needs a condition or timing method, find its meaning below and type the exact code in the matching column. The table shows which event each condition belongs to.

Timing method (availability depends on event and course)

You are ready when: All records are entered one per row, and row 1's headings are unchanged.

  5. Save the file for Import

In desktop Excel, choose File → Save As and select the file type labeled CSV UTF-8 with a .csv ending. Keep the .csv ending and accept Excel's prompt to keep this format. Save after every correction. Do not upload an .xlsx workbook or simply rename it .csv.

    ExcelSave AsCSV UTF-8 (*.csv)
Choose CSV UTF-8 in Excel's Save As file type. A generic CSV choice or another spreadsheet app has not been verified here.

You are ready when: The saved filename ends in .csv. This Excel 16 path was checked against Deltafolio's current Import rules.

  6. Open Account Import

Create and verify your account if needed, complete your athlete profile, then open Account → Import before adding a Performance by hand.

You are ready when: You can see “Import performance data” and a file selector in Account.

  7. Choose the file and Validate

Select the saved .csv file, then choose Validate CSV. This checks the whole file and does not write records to your account.

    Deltafolio CSV fileValidate CSV
File selection and Validate are the checking step. Confirm appears only after validation passes.

You are ready when: You see either a list of problems to fix or a validation-passed summary.

  8. Fix a problem and check again

If a problem appears, use its row or column, reason, and next action to find the cell in Excel. Correct it, save again as CSV UTF-8, reselect the new file in Account, and Validate again.

Data row 1English-heading file → performance_dateJapanese-heading file → 日付Why: Not a valid calendar dateNext action: Use YYYY-MM-DD
Example: an invalid date in data row 1 needs a real date written as YYYY-MM-DD.

You are ready when: The problem is gone or the next problem is shown. Continue until validation passes.

  9. Review, then Confirm Import

When validation passes, review the counts shown in Account. Choose Confirm import only when they look right. Confirm checks the file again and writes the whole file or nothing.

    Validate CSV1 PerformancesConfirm import
Validate checks. Confirm is the separate step that creates the records.

You are ready when: Account shows that performance data was imported successfully.

  10. Check Timeline

Open Timeline and find the imported performances. If records already existed, Import cannot add or merge them; changing the file will not make it eligible.

    Open Timeline

You are ready when: Your imported records appear in Timeline.

If Validate finds a problem

A heading is missing or changed

The problem points to the file headings.

Download a fresh template and keep its first row unchanged. Copy your record cells into the matching columns, save, reselect, and Validate.

A date is not accepted

The problem points to a data row and its date column.

Enter a real calendar date like 2026-09-29 as YYYY-MM-DD, save, reselect, and Validate.

An event, result, or unit is not accepted

The problem points to the row and field to correct.

Compare the cell with the example and the accepted values below. Keep exact values such as 100m and seconds; save, reselect, and Validate.

Records already exist

Account says Import is unavailable.

Import works only before the first Performance is added. Editing or splitting the file cannot add to or merge with existing records.

More detail when you need it

Verified route: desktop Microsoft Excel 16 with all cells set to Text before entry, then Save As → CSV UTF-8. Other spreadsheet exports have not been verified for Deltafolio's required file format.

Important limits

Import is create-only and available only when there are no saved performances. It validates the whole file before an all-or-nothing write. It cannot merge, update, overwrite, deduplicate, or import a second time. There is no arbitrary column mapper. Limits: 4,000,000 bytes, 10,000 Performance rows, 100 Evidence relations and 100 Field Attempts per Performance, 420 columns, and 8,192 decoded UTF-8 bytes per cell.

Columns and accepted values

Either complete header profile works with either UI language. Keep the exact template headers. Cell values use the current canonical Deltafolio codes in both profiles; do not translate them. Leave an optional value blank when it does not apply.

  • Date: YYYY-MM-DD. Time: optional HH:MM in 24-hour time.
  • Result value and unit: use the Discipline's stored numeric result and canonical seconds, meters, or points unit. Result Status is an alternative to a numeric Result. Measured Result value/unit apply only with a compatible primary Result and matching unit.
  • Wind reading: canonical numeric m/s where supported. Round: positive integer. Day Title, Place, Note, and Shoe name are text; Shoe is resolved within your account.
  • Evidence: each counted ordinal is a relation, including a blank external video URL. A nonblank URL must satisfy current external video URL rules.
  • Field Attempts: use contiguous outcomes. Vertical outcomes are clear, miss, pass; horizontal/throw outcomes are valid, foul, pass. Value and wind must match Discipline, outcome, and headline Result rules.

More than 1 Evidence relation or 6 Field Attempts

Add consecutive Evidence columns immediately before the Attempt count column. After slot 1, add these exact headers for slots 2 and 3:

記録資料2外部動画URL記録資料3外部動画URL

Continue without gaps through at most 100 slots. The Evidence count cell is that row's actual relation count; leave higher slots blank. A counted Evidence relation can have a blank URL. evidence_count / 記録資料件数

After the six baseline Attempts, append one complete, consecutive three-column triplet per additional Attempt. For Attempt 7:

attempt_7_outcomeattempt_7_valueattempt_7_wind_reading_mps

試技7結果試技7記録値試技7風速(m/s)

Continue without gaps through at most 100 slots. The Attempt count cell is that row's actual count; leave higher triplets blank. field_attempt_count / 試技件数

Spreadsheet text safety

Export adds a protective apostrophe when Day Title, Place, Note, or Shoe name begins with =, +, -, or @. Import removes that protection in those four fields. A literal leading apostrophe in rare matching text is ambiguous. Check spreadsheet software's own automatic formatting when preparing a CSV.
